Minutes of virtual meeting 28.05.2024

2.  Minutes of last meeting                                               

JuM ran through minutes of last meeting.

Item 10.4 HCL meeting

It was quite difficult for HCL to manage with some people in person and some logging in through Teams. Are only offering attendance in person for the next meeting.

3. Matters Arising – Nil

4. Practice update                                                               

a) Staff changes:

– Dr Raj, unfortunately moving back to Wales so will be leaving the practice.

– The Practice is currently recruiting new reception team members, JMcG will be sitting in on the interviews.

b) Complaints:

– Patient was referred to Royal Free ENT, who then referred onto Barnet Hospital Speech and Language Therapy (SLT) team. When they hadn’t heard anything from the hospital regarding the SLT appointment they spoke with AG. Patient was advised as Royal Free isn’t under Imperial we are unable to view their systems and was given information for the Patient Advise & Liaison Service (PALS). Patient called PALS and was told SLT referral has been rejected. Practice were informed of rejection and a new referral was sent on the same day.

JM observation –  Px in Waiting Room cannot be seen by reception and they ended up waiting a long time to the point of asking what was happening. Could reception say when they check-in that they will have to wait as there is a system on the PC of knowing when the Px is seen by the GP. The only problem is people self-checking in when reception is busy.

c) PPG consent form

– JuM, JMc & SL agreed completion of the presented form by all PPG members.

d) Training day, 17TH July:

– There is a practice training day in the afternoon on the 17th July. DO spoke through plan to ensure patient safety. Locum GP to be in attendance whole day for emergency calls. HCL have agreed to assist with calls through the Surge service. Practice will leave a message on phone system informing patients to please call back with routine matters the next day and to only call for urgent matters.

5.2 Update from JuM – HCL PPG Meeting

See item 6 as the HCL PPG meeting attended was about websites and made her look more closely at our format compared with other surgeries.

6. Website Update                                                                 

JuM asked if we could put photos of staff members on the website if willing along with a short bio of the staff/their background and their specialisations, especially clinicians. JuM mentioned it would be good to add a key explaining the (m)/(f) next to staff names to indicate whether they are male/female. JuM also said all staffs surnames should be on the staff page and to move the GP list to under GP partner. JuM & SL said it would be great to see a short synopses of the different groups in the staff section to explain each of their roles in more detail (Pharmacists/Care Navigators/etc). SL asked if we are about to get the informational banners to be a sliding banner rather than information that jumps between tabs. JuM & SL were unsure if the GP earnings section should be on our website. JMcG thinks it isn’t something that we need on the website and should definitely be removed. SL mentioned the old website had a log-in button at the top which would take you straight to System Online. SL said it was much easier to log-in whilst on the new website to find the log in you have to click on the Prescriptions tab before it gives you an option, which can be confusing if you’re accessing your notes and not wanting a prescription. SL suggested we should add a log-in option on the home page across the top banner. SL mentioned the ‘Accessing your medical records’ section should also have a link to System Online and should be made clearer, as it doesn’t describe how you can access it yourself.

Action – DO to look through the suggested changes and see what can be changed directly ourselves and what we may need help to do from the IT team.

7. Open Meeting                                                                              

We need to come to decisions at our next PPG meeting on 1st July as to when to host the Open Meeting this year and in what format.

Action – PPG to discuss at next meeting.

8. AOB                                                                                    

8.1 HCL PPG meeting

The upcoming HCL PPG meeting is onTuesday 09/07/2024 from 17:30 – 19:00 at 16th Floor, Capital House 25 Chapel St, London NW1 5RJ. The meeting will be held in-person. Each Practice should have a PPG patient representative present. JuM said she can go, but as she went last time is happy for someone else to do so if they would be interested in attending. JC has to confirm who can attend as MHC’s patient representative, so we need to agree on who can go and let JC know asap.

Action – JuM to let JC know who will be attending HCL PPG meeting on 09/07/2024.

8.2 PPG Awareness Week

JuM mentioned that PPG Awareness Week is next week but we haven’t planned anything for it. JuM said we should look to try and arrange something next year in the practice to encourage membership. SL agreed it would be useful to do something to raise awareness of what we’re doing.

8.3 Meeting format

We should ask the PPG members if they wish the meetings to be only virtual or whether the hybrid version is more appropriate.

Action – JuM/JC to ask members for their thoughts.
